Job Overview
The Service Planner / Tool Room Coordinator plays a critical role in supporting a fast‑paced service operation by managing the tool room, coordinating parts and tooling needs, and ensuring technicians have what they need to perform their work safely and efficiently.
This role serves as a key link between technicians, the warehouse, vendors, and service leadership. The ideal candidate is highly organized, communicates clearly, and thrives in a dynamic environment that requires quick thinking, attention to detail, and strong coordination skills.
Key Job Responsibilities
- Manage day‑to‑day operations of the tool room, including tool check‑in/check‑out, inventory control, and repairs
- Administer and maintain tooling and consumables systems, including employee access and equipment locations
- Coordinate tooling repairs by dispatching equipment, tracking progress, and communicating status updates
- Order and manage parts and tooling for technicians
- Track, manage, and expedite backorders to support service schedules and deadlines
- Communicate regularly with vendors to source parts, confirm availability, and expedite deliveries as needed
- Partner closely with the warehouse team to stage parts, manage cores/returns, and support pick/pack/ship processes
- Act as a high‑level parts and service support resource for technicians and supervisors
- Review tool room notes and collaborate with service leadership on additional technician needs
- Maintain accurate records related to parts, tools, vendors, and work‑in‑process (WIP)
- Communicate clearly and professionally with internal teams and external partners, both verbally and in writing
Qualifications/Requirements
- 3 years of experience in customer service, parts, service coordination, warehouse, or tool room operations
- Strong working knowledge of parts ordering, inventory management, and vendor coordination
- Ability to manage multiple priorities in a high‑pace environment
- Excellent verbal and written communication skills
- Proficient in Microsoft Excel, Word, and other MS Office tools
- Experience with SAP and/or CDK strongly preferredComfortable working with ERP systems, parts portals, and inventory tools
- Valid driver’s license requiredReliable, detail‑oriented, and able to work independently with minimal oversight

Hiring Range
