Job Overview

This position is responsible for various levels of administrative support for the North American Research and Development Division Arizona proving grounds.

This position will also support NARDD budget activities with the creation and maintenance of charts which permit critical analysis and corrective action implementation by NARDD management and will be responsible for assistance of the creation and tracking of appropriation requests (AR) for AZPG capital acquisitions.

As directed by management, this position will also assist with basic administrative support such as scheduling meetings, assisting with travel arrangements, invoice processing, supply ordering, maintaining equipment databases, access control, and preparing various documents.

Key Job Responsibilities

  • Communicate professionally and effectively with all customers, employees, and vendors.  Perform general office tasks to support the daily functions of a remotely located office, including stocking office supplies, first aid supplies, reception of visitors, including site specific training.  Fulfill other administrative duties as requested by supervisor.
  • Support all NARDD personnel with routine administrative responsibilities such as scheduling meetings, assisting with travel arrangements, preparing documents, and organizing special events.  Maintain departmental calendars, visit requests, invoices, safety training records, employee training records & other time sensitive material.
  • Purchase materials in support of the Arizona Proving Grounds. Seek out vendors, negotiate price and delivery of materials & consumables, and ensure invoices are coded correctly.  Place purchase orders as needed in support of Admin as related to AR’s, software maintenance renewals, and service agencies
  • Monitor monthly departmental budget activities, including creation and maintenance of charts permitting critical analysis and corrective action implementation by NARDD management. Liaise with NARDD Admin to assist with the creation of AR’s for Arizona Proving Grounds & budgetary questions
  • Create reports on status of heavy equipment – faults, maintenance items etc & liaise with other members of the department to ensure rectification in a timely manner.

Qualifications/Requirements

  • Associate degree, or 5 years’ experience in an administrative role or a relevant field.
  • Working knowledge of invoicing systems, scheduling & planning activities & the ability to learn new and customized systems.
  • Understanding of business accounting practices and advanced knowledge of MS software applications.
  • Working knowledge of purchasing principals / negotiating skills and the ability to interpret engineering drawings.
  • Skill in written and verbal communication.  Ability to work well and cooperatively with people.

Hiring Range 

At Komatsu, your base pay is one part of your total compensation package. This role pays $52,720 - $65,900. The actual offer will consider a wide range of factors, including experience and location.
