Job Overview

We are seeking a highly organized and detail-oriented Rental Coordinator to oversee the end-to-end execution of equipment rental processes across multiple branch locations. This role is responsible for managing rental order generation, fulfillment, maintenance coordination, and return procedures to ensure operational efficiency and alignment with company objectives.

The ideal candidate will demonstrate strong communication skills, a proactive approach to problem-solving, and the ability to collaborate effectively with internal departments and external customers. This position plays a critical role in maximizing equipment availability, maintaining accurate documentation, and supporting the achievement of organizational goals through timely and precise execution of rental operations.

Key Job Responsibilities

• Accommodate phone and walk-in internal/external customers to generate rental orders in a cooperative, supportive and courteous manner displaying professionalism always.
• Execution, revision, closing and invoicing rental contracts
• Tracking inventory
• Executing the equipment return process.
• Schedule and coordinate equipment deliveries, pickups, and returns across multiple locations.
• Manage the process associated with customer insurance documentation, credit approval, identification of Rental Maintenance, and the identification of Customer Damages to equipment.
• Prepare rental agreements, purchase orders, and other related documentation
• Collaborate with service teams to ensure equipment is properly maintained and ready for rental.
• Act as the liaison between Sales and Product Support to ensure equipment is ready and delivered to customers timely.
• Coordinating and closing rental opportunities through phone and “walk-in” opportunities
• Support internal and external customers to generate and fulfill rental orders
• Coordinate rental order fulfillment and return activities with Yard Coordinators and Transportation Services
• Work with the fleet department to maintain targets related to equipment utilization, both time and financial, in addition to Return On Asset metrics.
• Assist and participate in meetings elated to equipment and demand forecasting.

Qualifications/Requirements

• High school diploma or general education degree (GED) required some college or technical training preferred
• Demonstrated knowledge or hands-on experience in diagnosing, repairing, and maintaining heavy equipment (e.g., excavators, loaders, bulldozers, haul trucks), with a working knowledge of hydraulic, electrical, and mechanical systems.
