We are currently looking to add a Service Administrator to our National Service Team


Reports to: Field Planner Coordinator

Shift: 5x2

Location: Edmonton, Alberta

Relocation: No

Travel:  Up to 20% 

We are currently looking for a permanent, full-time Service Administrator to support our National Service Group (NSG) team for 40 hours per week.

Our National Service Group (NSG) is a project-based team that travels across Canada completing large equipment assemblies for a variety of mining clients. Projects have a typical duration of 3-4 months. During this time, the NSG works long shifts and can be remote for 3-4 weeks at a time. This role will not be required to travel and will be based out of our Edmonton office.

The successful candidate of this role will have great adaptability as the nature of the NSG’s work is sporadic causing this role to have significant shifts in pace at times, and requirements can change on a customer-by-customer basis. You will have a can-do attitude and be willing to support a variety of administrative business functions.



  • Create purchase requisitions for materials and services
  • Enter timesheets into SAP & payroll, ensuring accuracy and proper allocation. Reconciling and running monthly/weekly reports for payroll and job costing.
  • Coordinate travel arrangements for field crews such as booking camp and commercial/chartered flights
  • Receive goods and upload packing slips into SAP sent from field projects
  • Review and action reports from Accounts Payable to confirm invoices for goods/services have been received
  • Run weekly reports for site supervision and management
  • Creating pre-invoicing reports, and assisting with invoicing as required
  • Assist with project closure as required including reducing purchase orders and requesting invoices from vendors
  • Various office duties including ordering supplies and organizing spaces
  • Support project staff and management as required
  • Backfill for various duties as required (vacation coverage, etc.)


Skills & Qualifications


  • Minimum 2-3 years’ admin experience; construction and mining equipment experience would be an asset
  • Understand basic payroll and timesheet processing
  • Effective analytical, problem solving, planning & organizational skills
  • Self-starter who is action and results oriented with strong interpersonal skills
  • Knowledge of and experience using SAP is considered a strong asset
  • Ability to handle & prioritize multiple tasks with a high degree of accuracy while working in a fast-paced environment
  • Excellent oral & written communication skills with a strong focus on customer service
