HR Operations Coordinator

Job Overview

We have an exciting opportunity for an HR Operations Coordinator to join our HR Operations team in Chicago, IL (near O'Hare). In this role, you will handle employee transactions, oversee onboarding and offboarding for employees, contractors, and interns, and process new hires, terminations, and personnel changes in the system. You'll also ensure workflows are updated to meet payroll deadlines.

Key Job Responsibilities

• Serve as the primary point of contact for various company programs, including Service Awards, Education Assistance, and LOA’s.
• Manage new-employee onboarding and HRIS processes, ensuring a smooth transition for new employees joining Komatsu.
• Handle employee terminations and HRIS processes, communicating effectively with managers and preparing necessary paperwork.
• Administer employee information and access to company systems, adhering to record retention policies and compliance guidelines.
• Provide administrative support as needed, including workflow administration and document preparation for HR audits.
• Answer day-to-day HR inquiries, resolve employee complaints, and escalate complex issues to HR managers.
• Keep management informed of potential problem areas and recommend/implement appropriate solutions.
• Utilize PC proficiency in MS Office, VLOOKUP’s, and pivot tables to streamline processes and create efficiencies within the department.
• Demonstrate strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.

Qualifications/Requirements

• High school diploma or GED required, Bachelor’s degree preferred.
• Minimum of HR Internship experience or 1-2 years of HR experience required.
• Preferred experience in Human Resources with a large employee base; experience in a matrix organization is a plus.
• PC proficiency in MS Office, VLOOKUP’s, and pivot tables knowledge is desirable.
• Ability to multi-task, manage multiple priorities, and meet deadlines consistently.
• Self-starter with the ability to work independently with minimal direction.
• Highly organized and capable of thriving in a fast-paced environment.
• Strong communication skills (verbal and written) to interact with all levels of the organization effectively.
• Demonstrate strong attention to detail and process-oriented mindset.
