Job Overview
The Customer Support Coordinator serves as a liaison between KAC and Distributors on all matters relating to orders for machines and attachments, availability, delivery and shipment of same. The Customer Support Coordinator receives the distributors’ orders, communicates receipt to Manufacturing and insures that the order is allocated in the required specification and timeframe that is requested. This position also communicates the ongoing status of the orders to the distributor and KAC Regional Sales. The Customer Support Coordinator insures proper pricing and terms are applied for invoicing. A complete machine file is maintained on each order.
Scope
The Customer Support Coordinator handles orders for about 1000 machines and 250 separate attachment orders per year representing approximately $400 million in KAC sales. The Coordinator is responsible for the business of approximately 14 major KAC Distributors.
Key Job Responsibilities
- Provides accurate information to Distributors regarding the status of orders, availability, specifications and requested changes to specification in support of their sales activity.
- Perform assigned duties related to Distributor Consignment order processing including monitoring Distributor inventory levels, consignment machine hour reading and tracking actual machine location by distributor branch. Process consignment “invoice” requests by performing post goods delivery issue in SAP system
- Receives processes and coordinates all Distributor machine and attachment orders.
- Maintain a level of knowledge of machine specifications, manufacturing procedures and marketing programs to be able to accurately guide distributors through the ordering process.
- Communicates with Distributors and Sales Regions to effectively resolve outstanding distributor issues.
- Ensures that correct prices and terms are applied to each machine and attachment invoice.
- Maintains complete files on each order including the order, acknowledgement, invoice and all related correspondence
- Expedites shipments when delivery is critical or necessary to maintain KAC delivery commitments.
- Provides distributor training and support of SAP for entering orders and obtaining order information.
- Receives and processes distributor claims for freight adjustments.
- Other assignments as directed by Management.
Qualifications/Requirements
- Two-year college degree or five years of Customer Support or Inside Sales experience in an industrial business.
- Proficient in Microsoft Office, SAP experience preferred.
- Good communication skills – spoken and written communication
- Patience, persistence and problem-solving skills very important
- Accuracy and attention to detail required.
